HOW TO USE

How to use these reminder templates

Before sending a reminder, check the invoice details, payment status and the right tone for the customer.

01

Check the invoice details

Confirm the invoice number, amount due and original payment due date.

02

Check your bank account

Make sure the payment has not already arrived before sending a reminder.

03

Choose the right tone

Start polite, then use a firmer reminder if the invoice is still unpaid.

04

Include the payment reference

Use a clear reference, such as the invoice number, so the payment is easier to match.

05

Keep a record

Save what was sent, when it was sent and which invoice it relates to.

06

Stop once payment is confirmed

Stop reminders after you have confirmed the payment in your bank account.

A customer saying "I've paid" is not the same as confirmed payment. Check your bank account before marking an invoice as paid.

REMINDER TONE

Start polite, then become clearer

Use a tone that matches the stage of the invoice follow-up. Keep the message clear, professional and easy for the customer to act on.

First reminder

Polite

Best for first reminders and good customer relationships.

Use friendly wording and assume the customer may have missed the invoice.

Second reminder

Firm

Best when payment is overdue and the customer has not responded.

Be direct about the overdue amount, due date and payment reference.

Final follow-up

Final

Best when previous reminders have been ignored and you need a clear written record.

Keep the message calm, clear and specific about the invoice that remains unpaid.

REMINDER CHECKLIST

What every payment reminder should include

Before sending a reminder, make sure the customer has everything they need to recognise the invoice and make the payment.

Invoice details

  • Invoice number
  • Customer name
  • Amount due
  • Original due date

Payment and next step

  • Account name
  • Sort code
  • Account number
  • Payment reference
  • Customer invoice page or PDF link, if used
  • Clear next step: pay, reply, or send payment date and reference
  • Contact details for questions

A good reminder should make it easy for the customer to identify the invoice, pay by bank transfer and reply if they have a question.

FAQ

Payment reminder FAQs

Common questions about overdue invoices, reminder emails, payment reports and how Joqiva handles payment follow-up.

When should I send a payment reminder?

Send a friendly reminder a few days before the due date, or shortly after an unpaid invoice becomes overdue. Use firmer wording only if the invoice remains unpaid and the customer has not responded. If the customer has reported payment, check your bank account before sending another reminder.

What should a payment reminder include?

Include the invoice number, customer name, amount due, original due date, bank transfer details, payment reference, clear next step and contact details for questions.

Can Joqiva send automatic reminders?

Yes, on Pro and Team. Starter includes manual reminders. Automatic reminders are only sent when the invoice is still unpaid, not cancelled and the workspace is active.

Does Joqiva process customer payments?

No. Customers pay directly into your bank account by bank transfer. Joqiva does not collect, hold, transfer or process customer invoice payments.

Is "I've paid" the same as paid?

No. “I’ve paid” means the customer has reported payment. The invoice is not marked as Paid until the business owner checks the bank account and confirms the payment.

Can I add late payment interest?

Joqiva does not automatically add late payment interest. Any late payment calculation should be treated as guidance only and not legal advice. Do not add interest by default; check what applies to your customer and invoice.
